Position: Senior Administrative Assistant (Temp/Temp to Hire)

Location: Honolulu

Industry : Non-Profit

Salary: $28-33 per hour

Parking: Provided on-site

Job Summary:

We are seeking a highly skilled Senior Administrative Assistant to provide comprehensive executive-level support within a fast-paced, high-visibility office environment. This role requires strong independent judgment, exceptional organizational skills, and the ability to manage confidential information with discretion. You will serve as a central coordination point for internal teams, leadership, external partners, and members of the public, ensuring smooth daily operations and professional communication.

Key Responsibilities:

  • Manage complex calendars, appointments, meetings, and travel arrangements.
  • Coordinate preparation of materials for internal meetings, board discussions, or committee activities.
  • Organize and maintain both digital and physical filing systems
  • Screen, prioritize, and route incoming calls, emails, and visitors.
  • Serve as a liaison between leadership, staff, partners, and community members.
  • Assist with scheduling and coordinating public-facing meetings, events, and site visits.
  • Support daily office operations, ensuring smooth workflow and timely follow-up on pending items.
  • Monitor office supplies, equipment needs, and general administrative processes.
  • Compile background materials, conduct basic research, and prepare informational summaries as needed.
  • Maintain confidential records and ensure compliance with organizational policies.
  • Support budget-related tracking, documentation, and reporting

Qualifications:
  • Bachelors or Associate degree preferred
  • 6+ years of administrative or clerical experience with demonstrated strengths in written communication, organizational skills, and office technology.
  • 3+ years supporting a department head, manager, or executive with minimal supervision.
  • Strong typing, document preparation, and proofreading abilities.
  • Excellent planning, prioritization, and multitasking abilities.
  • Ability to work effectively under pressure and meet tight deadlines.
  • Strong interpersonal skills, with the ability to communicate clearly and professionally.
  • Experience handling confidential and sensitive information.
  • Proficiency with common office software, communication tools, and document management systems.
  • Flexibility, adaptability, and a high level of initiative
